- Minimum of 5 years general office experience
Major Responsibilities and Duties
- Maintain, update, and secure permanent student records; create permanent records; obtain records and grades on all new students and post all grades.
- Maintain record of enrollments and withdrawals and an accurate record of the reason for withdrawal.
- Generate correspondence regarding transcript requests and other information pertaining to student records; issue all transcripts; be responsible for determining class rank and grade point average.
- Respond to calls from parents, former students, and colleges.
- Supervise assistant registrar, when applicable.
- Create transcripts, including input of grades from summer school, CBE, correspondence, dual credit, GPA/class rank, and TEKS scores.
- Verify eligibility for National Honor Society.
- Submit GPA/rank for scholarships.
- Make permanent graduation file including final senior list with rankings.
- Be responsible for guardianship and transfer papers.
- Be responsible for handling of honors waivers, UIL eligibility credits, and grades.
- Distribute social security enrollment verification when requested and insurance enrollment verification.
- Maintain on file and distribute diplomas to students after graduation.
- Transfer to teachers the grades of students who enroll after semester begins (1st and 2nd semesters).
- Act as campus records liaison officer; be responsible for developing records control schedules, storing records, microfilming records, disposal of obsolete records and other records management functions.
- Update history files (AARCRT) by way of AARO1 on all students.
- Coordinate information on reports, including principal’s annual report.
- Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
- Research district policy, precedent, and current practices prior to taking action.
- Participate as an effective team member who contributes to district, department, and content goals.
- Demonstrate integrity and ethics.
- Display proficient levels of technology applications.
- Utilize time wisely for effective management of job responsibilities.
- Maintain punctuality in daily work times, appointments, and meetings.
- Meet task completion deadlines established by supervisor.
- Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
- Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
- Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
- Perform other duties and accept other responsibilities as assigned.
