Primary Purpose

Qualifications

Education/Certification

  • High school diploma or GED

Special Knowledge/Skills

  • Effective communication and interpersonal skills
  • Strong organizational and file maintenance skill
  • Proficient skills in typing, word processing, spreadsheet, and database management
  • Ability to maintain confidentiality
  • Ability to work both independently and collaboratively

Experience

  • Minimum of 3 years office experience preferably in an educational field

Major Responsibilities and Duties

  1. Perform usual office routines and practices associated with a productive office, including, but not limited to typing correspondence, maintaining accurate records and files, mail distribution, etc.
  2. Assist other secretaries as needed.
  3. Assist in disseminating policy information to parents and staff.
  4. Assist in planning, scheduling, managing enrollment and credit, material creation and distribution, and set-up for workshops, conferences, and presentations.
  5. Maintain files and enter data into the PBIS (Positive Behavior Interventions and Supports) national database.
  6. Track and maintain records for Region IV partnerships with PBIS.
  7. Maintain travel records and assist in setting up travel itinerary.
  8. Update parent contact log for Director of Parent Assistance.
  9. Serve as a secondary contact for parent phone calls for the Director of Parent Assistance.
  10. Manage budgetary tasks including invoices, payments, and receipts of transactions.
  11. Establish and maintain files and provide information from the files when requested.
  12. Process and barcode materials.
  13. Exercise excellent telephone etiquette and respond appropriately to inquiries and requests from the community and district staff in all areas of job responsibility.
  14. Research, coordinate, prepare and organize communication and information for distribution to district personnel.
  15. Maintain confidentiality regarding staff and student information.
  16. Maintain and safeguard all confidential records and information.
  17. Establish and maintain cooperative and supportive relationships with customers.
  18. Manage time and materials in an organized and effective manner.
  19. Prioritize tasks and manage work flow to meet deadlines.
  20. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  21. Research district policy, precedent, and current practices prior to taking action.
  22. Participate as an effective team member who contributes to district, department, and content goals.
  23. Demonstrate integrity and ethics.
  24. Display proficient levels of technology applications.
  25. Utilize time wisely for effective management of job responsibilities.
  26. Maintain punctuality in daily work times, appointments, and meetings.
  27. Meet task completion deadlines established by supervisor.
  28. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  29. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met
  30. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  31. Perform other duties and accept other responsibilities as assigned.
