Primary Purpose

  • Assist counselors in the operation of an efficient office by providing clerical support.

 

Qualifications

Education/Certification

  • High school diploma or GED

 

Special Knowledge/Skills

  • Effective communication and interpersonal skills
  • Proficient computer, typing, and word processing skills
  • Strong organizational and file maintenance skills
  • Ability to maintain confidentiality

 

Experience

  •  Minimum of 3 years office experience

 

Major Responsibilities and Duties

  1. Provide clerical support to the high school counselors, including typing, copying, and distributing all communications.
  2. Receive visitors and telephone calls; take reliable messages, and forward to appropriate person.
  3. Register new students.
  4. Verify completion of new student applications.
  5. Compile/update scholarship folders.
  6. Maintain student information files and assist teachers with required information.
  7. Assist with absentee reports and maintain files.
  8. Maintain counselors’ calendar and schedule appointments.
  9. Substitute for receptionist as needed.
  10. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  11. Research district policy, precedent, and current practices prior to taking action.
  12. Participate as an effective team member who contributes to district, department, and content goals.
  13. Demonstrate integrity and ethics.
  14. Display proficient levels of technology applications.
  15. Utilize time wisely for effective management of job responsibilities.
  16. Maintain punctuality in daily work times, appointments, and meetings.
  17. Meet task completion deadlines established by supervisor.
  18. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  19. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  20. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  21. Perform other duties and accept other responsibilities as assigned
