Primary Purpose

  • Facilitate the efficient operation of the school administrative office and provide clerical services for the school’s administrative staff.

 

Qualifications

Education/Certification

  • High school diploma or GED

 

Special Knowledge/Skills

  • Effective communication and interpersonal skills
  • Proficient computer, typing, and word processing skills
  • Strong organizational and file management skills

 

Experience

  • Minimum of 3 years secretarial experience preferably in a public education environment

 

Major Responsibilities and Duties

  1. Perform usual office routines and practices associated with a productive office (e.g. correspondence, answering telephone, scheduling, mail distribution, etc.).
  2. Exercise good telephone etiquette, take reliable messages, and route to appropriate staff.
  3. Assist principal, assistant principal, students, teachers, and parents as needed.
  4. Establish and maintain files and provide information from files such as student records, teacher records, and extracurricular activities.
  5. Enter and maintain all student discipline records.
  6. Distribute and collect scan sheets and verification sheets.
  7. Interact with truant officer regarding student attendance.
  8. Maintain proper files to include inventory of school supplies, mailing lists, student records, visitor logs, and office communications.
  9. Sort, distribute, or deliver mail and other documents.
  10. Schedule meetings and appointments and maintain calendar for assistant principal.
  11. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  12. Research district policy, precedent, and current practices prior to taking action.
  13. Participate as an effective team member who contributes to district, department, and content goals.
  14. Demonstrate integrity and ethics.
  15. Display proficient levels of technology applications.
  16. Utilize time wisely for effective management of job responsibilities.
  17. Maintain punctuality in daily work times, appointments, and meetings.
  18. Meet task completion deadlines established by supervisor.
  19. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  20. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  21. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  22. Perform other duties and accept other responsibilities as assigned.
