Primary Purpose

  • This position ensures that the non-school use of district facilities is in accordance with District policies and established procedures.

Qualifications:

Education/Certification

  • High school diploma or GED

Special Knowledge/Skills

  • Effective communication, customer service and interpersonal skills
  • Strong organizational and file maintenance skills
  • Ability to multi-task and work with little supervision
  • Expertise in SchoolDude, MS Windows, MS Excel, MS Word, and MS Outlook
  • Proficient computer and typing skills
  • Ability and willingness to maintain confidentiality

Experience

  • Experience in campus operations and communication procedures preferred
  • Experience in database management software, scheduling software and accounting software applications

Major Responsibilities and Duties

  1. Process facility use requests from the community
  2. Maintain the Schooldude calendar for non-school use of District facilities
  3. Create and execute contracts for non-school use of District facilities
  4. Deposit checks received from Administrative Assistant using the electronic deposit system and provide report to Administrative Assistant for verification
  5. Maintain detailed records of all non-school use of District facilities
  6. Stay up to date on all filing to ensure ease of conducting research
  7. Understand, implement and ensure compliance with board policies as they relate to the non-school use of District facilities
  8. Process facility rental payments and post to Schooldude system
  9. Complete monthly reports of facility rental activities (billings, collections, aged receivables, non-compliance, etc.) and submit to the Director of Safe and Secure Schools
  10. Maintain all financial records for the district facility rental department including all school-sponsored activities’ financial records, including general ledger, cash balance, detailed accounts, and subsidiary journals;
  11. Maintain all applicable financial records on computer utilizing district-approved software for operations departments;
  12. Review and enter daily deposit entries for district facility rentals;
  13. Communicate status of contract negotiations with lessees on a monthly basis;
  14. Perform routine office duties associated with a productive office including scheduling, answering telephone, typing, filing, compile materials and maintain files;
  15. Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service;
  16. Act as a back-up for Emergency Dispatch
  17. Act as back-up for Residency Affidavits
  18. Conduct semi-annual training to campus schooldude users and administrators to promote compliance with district policies and procedures
  19. Coordinate communications between lessees, School Liaison Officers, maintenance and operations personnel, technology personnel and campus personnel
  20. Prepare and maintain correspondence to district personnel related to facility rentals
  21. Monitor Schooldude calendar for unusual, misclassified (school use vs. non-school use) or unauthorized activities.
  22. Stay-up-to date professionally through the selection of quality staff development opportunities for personal growth.
  23. Research district policy, precedent, and current practices prior to taking action.
  24. Participate as an effective team member who contributes to district, department, and content goals.
  25. Demonstrate integrity and ethics.
  26. Display proficient levels of technology applications.
  27. Utilize time wisely for effective management of job responsibilities.
  28. Maintain punctuality is daily work times, appointments, and meetings.
  29. Meet task completion deadlines established by supervisor.
  30. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  31. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  32. Maintain positive and professional tone in all communications (i.e. email, written, and verbal).
  33. Perform other duties and accept responsibilities as assigned.
