Qualifications
Education/Certification
- High school diploma or GED
Special Knowledge/Skills
- Effective communication and interpersonal skills
- Proficient word processing and file maintenance skills
- Strong organizational skills
- Knowledge of general office practices and procedures
- Ability to maintain confidentiality, multi-task, and work with little supervision
Experience
- Minimum of 3 years secretarial and bookkeeping experience, preferably in public education environment
Major Responsibilities and Duties
Chief Communication Officer
- Perform varied editing, typing, and computer tasks in the preparation of correspondence, forms, and reports reflecting the highest quality.
- Maintain Director’s calendar of activities and email.
- Exercise good telephone etiquette by taking reliable messages and dealing with questions/problems or directing to appropriate staff.
- Organize travel and reimbursement for director as needed.
- Maintain filing and tracking systems for department financial and travel records.
- Compile information and prepare various reports for the department.
- Keep informed of and comply with all federal, state, and district policies and regulations concerning primary job functions.
- Prioritize daily tasks.
- Maintain department calendar of events.
Office of Communications
- Process Texas Public Information Act Requests daily, work with Director to assign appropriate staff to fulfill request, and draft correspondence relating to TPIA requests.
- Be responsible for monthly Board Recognitions including compiling requests for board recognition for Director’s approval, ensuring Board forms are completed by requestor by department deadline, draft correspondence to honorees, and print certificates.
- Process/reconcile all budget requests from Office of Communications Staff.
- Assist with the organization of events such as Teacher of the Year Luncheon, Coffee Talk, and SUP with Superintendent.
