Primary Purpose

  • To assist in maintaining and tracking all special education eligibility records, SERS inventory system, and federal Medicaid billing; to expedite release and dissemination of special education records and information to other school districts, agencies, hospitals, and insurance companies.

Experience

  • Minimum of 3 years secretarial and bookkeeping experience, preferably in a public education environment 

Major Responsibilities and Duties

  1. Maintain all active and inactive computer and physical eligibility records of special education students to comply with state and federal laws.
  2. Communicate as liaison with administrative, guidance and teaching staff, parents, other districts, hospitals, agencies, medical and educational professionals, and legal firms regarding student record.
  3. Create student files for all special education students; update all changes regarding current status and location of all student eligibility records.
  4. Verify appropriateness, select, and expedite release and dissemination of student records from the district to other school districts, professionals, and agencies.
  5. Purge student eligibility records according to state and federal laws regarding retention schedules.
  6. Audit annual inventories of all eligibility records at various schools and coordinate district-wide transfers of eligibility records twice annually.
  7. Ensure confidentiality in dealing with student records and other departmental business.
  8. Interface with district computer software inventory systems.
  9. Verify special education instructional abbreviations and codes for Special Education Management System (SEMS) through Winschool; assist campuses with this information; provide reports as requested from Winschool special education data.
  10. Maintain SHARS parent consent spreadsheet.
  11. Assist with Random Moment Time Study (RMTS) quarterly services provider report.
  12. Enter, receive, verify and approve payment on purchase orders for district special education equipment and materials.
  13. Accession and process all equipment/materials received and complete circulation procedures prior to distribution/delivery.
  14. Maintain inventory of records on all SERS (Special Education Resource System) equipment and materials in district in accordance with federal regulation.
  15. Access data and provide reports, as requested, on materials acquisition, circulation, and location for SERS inventories.
  16. Assist administrators and other departmental secretaries as needed.
  17. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  18. Research district policy, precedent, and current practices prior to taking action.
  19. Participate as an effective team member who contributes to district, department, and content goals.
  20. Demonstrate integrity and ethics.
  21. Display proficient levels of technology applications.
  22. Utilize time wisely for effective management of job responsibilities.
  23. Maintain punctuality in daily work times, appointments, and meetings.
