Primary Purpose

  • Assist building principal in the efficient operation of the campus facility; support teachers, staff, and students in their daily routines.

 

Qualifications

Education/Certification

  • High school diploma or GED

 

Special Knowledge/Skills

  • Effective communication and interpersonal skills
  • Proficient computer, typing, and word processing skills
  • Strong organizational and file maintenance skills
  • Ability to maintain confidentiality

 

Experience

  • Minimum of 5 years secretarial experience, preferably in a public education environment

 

Major Responsibilities and Duties

  1. Perform usual office routines and practices associated with a productive office (e.g. correspondence, telephone, scheduling, mail distribution, etc.).
  2. Exercise good telephone etiquette, take reliable messages, and route to appropriate staff.
  3. Assist principal, students, teachers, and parents as needed.
  4. Collect and compile data and prepare report of monthly payroll information for faculty and staff.
  5. Keep principal’s calendar and schedule meetings; assure that the principal is fully briefed on the matters to be considered at meetings.
  6. Establish and maintain files and provide information from the files such as student records, teacher records, and extracurricular activities.
  7. Maintain master calendar of events and extracurricular activities.
  8. Assist principal in maintaining teacher records for professional growth, appraisals, etc.
  9. Maintain physical and computerized files, including mailing lists, student records, visitor logs, and office communications.
  10. Coordinate the check-in and checkout of teachers at opening and closing of school year and at other necessary times.
  11. Coordinate clerical projects for the campus.
  12. Enter work/maintenance requests for campus.
  13. Receive, store, and issue supplies and equipment.
  14. Maintain issues/returns of key cards.
  15. Maintain confidentiality at all times.
  16. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  17. Research district policy, precedent, and current practices prior to taking action.
  18. Participate as an effective team member who contributes to district, department, and content goals.
  19. Demonstrate integrity and ethics.
  20. Display proficient levels of technology applications.
  21. Utilize time wisely for effective management of job responsibilities.
  22. Maintain punctuality in daily work times, appointments, and meetings.
  23. Meet task completion deadlines established by supervisor.
  24. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  25. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  26. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  27. Perform other duties and accept other responsibilities as assigned.
