- Ensure efficient operation of the school administrative office and provide clerical services for the school’s administrative staff.
Qualifications:
Education/Certification
- High School Diploma or GED
Special Knowledge/Skills/Experience
- Excellent communication and interpersonal skills
- Strong organizational skills and knowledge of office procedures
- Proficient in Microsoft Excel, MS Word, MS Access, WinSchool, and E-mail,
- Ability to maintain confidentiality
- Ability to work independently
- Proficient file maintenance skills
Experience
- Minimum of 3 years secretarial experience, preferably in public education environment
Major Responsibilities and Duties
- Perform, organize and manage office routines and records associated with a productive office (e.g. correspondence, telephone, scheduling, etc.) in a professional manner with little supervision.
- Compile information and prepare various reports for the Dean of Instruction.
- Perform varied editing, typing and computer tasks in the preparation of correspondence, forms, manuals, reports, etc.
- Process incoming mail for the Dean of Instruction.
- Establish and maintain physical and computerized filing and tracking systems for
- Dean of Instruction.
- Coordinate registration and travel arrangements for Dean of Instruction.
- Ensure confidentiality in dealing with student records, staff records, parents and
- employees.
- Keep Dean of Instruction’s calendar and schedule meetings; ensure DOI is fully briefed on the matters to be considered at meetings.
- Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
- Participate as an effective team member who contributes to campus goals.
- Research district policy, precedent, and current practices prior to taking action.
- Demonstrate integrity and ethics.
- Display proficient levels of technology applications.
- Utilize time wisely for effective management of job responsibilities.
- Maintain punctuality in daily work times, appointments, and meetings.
- Meet task completion deadline established by Dean of Instruction.
- Maintain friendly customer services driven interactions with all stakeholders, students, teachers, administrators and co-workers.
- Work cooperatively with co-workers and supervisors to ensure that the goals of the campus are met.
- Maintain a positive and professional tone in all communication (i.e. mail, written, and verbal).
- Perform other duties and accept other responsibilities as assigned.
