Description

Primary Purpose

  • Ensure efficient operation of the school administrative office and provide clerical services for the school’s administrative staff.

Qualifications:

Education/Certification

  • High School Diploma or GED

Special Knowledge/Skills/Experience

  • Excellent communication and interpersonal skills
  • Strong organizational skills and knowledge of office procedures
  • Proficient in Microsoft Excel, MS Word, MS Access, WinSchool, and E-mail,
  • Ability to maintain confidentiality
  • Ability to work independently
  • Proficient file maintenance skills 

Experience

  • Minimum of 3 years secretarial experience, preferably in public education environment

Major Responsibilities and Duties

  1. Perform, organize and manage office routines and records associated with a productive office (e.g. correspondence, telephone, scheduling, etc.) in a professional manner with little supervision.
  2. Compile information and prepare various reports for the Dean of Instruction.
  3. Perform varied editing, typing and computer tasks in the preparation of correspondence, forms, manuals, reports, etc.
  4. Process incoming mail for the Dean of Instruction.
  5. Establish and maintain physical and computerized filing and tracking systems for  
  6. Dean of Instruction.
  7. Coordinate registration and  travel arrangements for Dean of Instruction.
  8. Ensure confidentiality in dealing with student records, staff records, parents and
  9. employees.
  10. Keep Dean of Instruction’s calendar and schedule meetings; ensure DOI is fully briefed on the matters to be considered at meetings.
  11. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  12. Participate as an effective team member who contributes to campus goals.
  13. Research district policy, precedent, and current practices prior to taking action.
  14. Demonstrate integrity and ethics.
  15. Display proficient levels of technology applications.
  16. Utilize time wisely for effective management of job responsibilities.
  17. Maintain punctuality in daily work times, appointments, and meetings.
  18. Meet task completion deadline established by Dean of Instruction.
  19. Maintain friendly customer services driven interactions with all stakeholders, students, teachers, administrators and co-workers.
  20. Work cooperatively with co-workers and supervisors to ensure that the goals of the campus are met.
  21. Maintain a positive and professional tone in all communication (i.e. mail, written, and verbal).
  22. Perform other duties and accept other responsibilities as assigned.
