Primary Purpose

  • Facilitate the efficient operation of the school administrative office and provide clerical services for the school’s administrative staff. 

Qualifications

Education/Certification            

  • High school diploma or GED     

Special Knowledge/Skills

  • Effective communication and interpersonal skills
  • Proficient word processing and file maintenance skills
  • Strong organizational skills
  • Knowledge of basic accounting principles and competent math skills
  • Ability to maintain strict confidentiality

Experience

  • Minimum of 3 years secretarial experience preferably in a public education environment

Major Responsibilities and Duties

  1. Perform usual office routines and practices associated with a productive office (e.g. correspondence, telephone duties, scheduling, mail distribution, etc.)
  2. Exercise good telephone etiquette, take reliable messages, and route to appropriate staff.
  3. Deal with public and school patrons in a friendly, positive manner, always presenting the positive aspects of the school.
  4. Assist principal, students, teachers, and parents as needed.
  5. Maintain a daily teacher attendance log and records for substitute teachers, including report for payroll.
  6. Monitor personnel time records to include sick leave, vacation, and special requests.
  7. Perform purchasing duties, maintain school budget, and manage accounts payable for activity funds.
  8. Maintain proper files to include inventory of school supplies, mailing lists, student records, visitor logs, and office communications.
  9. Receive, store, and issue supplies and equipment.
  10. Sort, distribute, or deliver mail and other documents.
  11. Schedule meetings and appointments and maintain calendar for principal.
  12. Be responsible for registration and withdrawal of students.
  13. Check for cash receipts (deposits) from the Food Service Department on a daily basis.
  14. Uphold and enforce school rules, administrative regulations, and state and local board policy.
  15. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  16. Research district policy, precedent, and current practices prior to taking action.
  17. Participate as an effective team member who contributes to district, department, and content goals.
  18. Demonstrate integrity and ethics.
  19. Display proficient levels of technology applications.
  20. Utilize time wisely for effective management of job responsibilities.
  21. Maintain punctuality in daily work times, appointments, and meetings.
  22. Meet task completion deadlines established by supervisor.
  23. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  24. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  25. Perform other duties and accept other responsibilities as assigned.
