Qualifications
Education/Certification/Licensure
- High school diploma
- Associate’s Degree, business school, or college hours preferred

Experience
- Minimum of 3 years secretarial experience; preferably in a public-school environment
Major Responsibilities and Duties
- Coordinate CTE special projects and events including but not limited to the livestock show and auction, culinary events, and staff development activities.
- Prepare and coordinate agendas, minutes, and follow-up for all CTE advisory boards and departmental meetings.
- Maintain records to include but not limited to extended contracts for CTE teachers and agriculture vehicle logs, employee non-duty days, and training plans.
- Assist in documenting expenditures of CTE budgets, Perkins Grant budget, Tech Prep budget, and Longhorn Project activity accounts.
- Ensure CTE contracts for grants and affiliation agreements are up to date.
- Receive and process travel request/reimbursement forms for CTE staff including conferences, livestock shows, competitions, etc.
- Maintain calendar, including scheduling needed appointments, campus visits, and meetings.
- Compile information and records necessary to complete the annual federal application for approved CTE programs.
- Compile information and records necessary to complete the annual expenditure of federal funds application for reimbursement.
- Interface with the community in person and by phone in a positive manner regarding school issues, respond to inquiries from parents and patrons, and provide information regarding policies and practices related to the CTE program.
- Act as liaison between parents, community, employees of the district, and the Director of the CTE program.
- Perform the routine work activities and practices associated with a productive office, including but not limited to answering telephone calls, typing correspondence and reports, sending and retrieving e-mail messages and facsimiles, maintaining and retrieving information files, and preparing mail for review and distribution.
- Order and maintain inventory of office supplies; monitor maintenance of office equipment
- Process incoming mail in a timely manner to ensure proper handling of time sensitive items such as travel requests, invoices, mileage forms, time sheets, budget requests.
- Prepare documents for the Board of Trustees.
- Ensure confidentiality at all times.
